Position Title: Senior Contract Analyst (SCA)
Department: Mosaic Health Corporate Share Services/Procurement
Reports To: Purchasing Manager
Location: Remote (Central Time preferred), with flexibility to support separate regions (East and West coast) as needed.

The Senior Contract Analyst (SCA) is a healthcare-focused professional with strong analytical skills responsible for the strategic oversight of the contract lifecycle, managing high-level, complex negotiations, and end-to-end vendor administration. Focusing primarily on the legal, insurance, and risk management aspects of agreements, SCA’s goal is protecting the organization from legal and financial risk. While procurement focuses on the operational what and how much of purchasing goods and services, the SCA focuses on the terms—specifically the legal, risk, and obligations of that purchase. Leveraging expertise in legal language, contract interpretation, and vendor onboarding, the SCA independently drafts, negotiates, owns the electronic signature packages, and administers legally binding agreements. The SCA drives strategic sourcing by evaluating supplier capabilities, as needed supporting RFPs/RFIs, and performing detailed spend analysis to measure contract value and cost savings. Additionally, the SCA participates in the procure-to-pay (P2P) process by creating procurement documents in Basware, proactively resolving match exceptions, and handling financial discrepancies in close partnership with Accounts Payables, our internal team within Procurement and across the business units. By cultivating strong stakeholder relationships, mentoring junior staff, and coordinating logistics, the SCA ensures all agreements comply with legal standards to prevent disputes or financial losses.

Key Responsibilities

Contract Management

  • Provide strategic oversight of the complete contract lifecycle, from solicitation to execution, close-out, extensions, and renewals.
  • Independently draft, negotiate, and administer complex, high-value, legally binding contracts.
  • Handle high-level, expert contract negotiations to ensure terms are favorable and advantageous to the organization.
  • Ensure all agreements strictly comply with legal standards, policies, and regulations to prevent disputes, financial losses, and mitigate reputational risk.
  • Serve as the lead support for contract management intake, processing, and repository management using Workday Strategic Sourcing.
  • Monitor and maintain contract system workflows, acting on system alerts to ensure vendors, contracts, and service support remain current and compliant.
  • Act as the primary point of contact for contract stakeholders, providing technical support, analytical assistance, and training on the contract management system. Mentor junior analysts and staff, providing guidance to improve overall department workflow and efficiency.
  • Develop and maintain training material, SOPs, and Desk Procedures, providing cross-training to improve department knowledge.

Vendor Management

  • Serve as a trusted support partner and the primary Vendor Manager for business owners and internal stakeholders, ensuring compliant, effective, and streamlined vendor processes are utilized.
  • Provide oversight, tracking, and escalation for vendor issues across business units, including cost variances, service variances, and potential risks.
  • Manage day-to-day workflows, documentation, notifications, and responses, enforcing vendor management and procurement-related policies.
  • Manage supplier relationships and proactively resolve discrepancies regarding supplier profile documents, pricing, quantities, or services.

Strategic Sourcing

  • Provide strategic oversight beyond drafting by reviewing contract performance, analyzing financial impact, and providing data-driven insights to influence business strategies.
  • Track overall vendor spend and perform detailed spend analysis to actively measure a contract's true financial impact and determine actual cost savings achieved.
  • Develop and implement sourcing strategies, analyze market trends, and evaluate supplier capabilities to guarantee cost-effective procurement.
  • Collaborate with stakeholders and executive sponsors to manage sourcing events and Requests for Price/Information (RFPs/RFIs) in accordance with enterprise standards.
  • Manage the extraction and mining of data from various systems to provide requesting stakeholders with clear visibility into the organization's contract landscape.
  • Participate in and support the Value Analysis Steering Committee by researching requests, analyzing needs, and reporting findings to stakeholders.

Purchasing Operations

  • Oversee the purchase order process by creating appropriate procurement documents in Basware to source and issue Spend Plans or Purchase Orders for goods or services.
  • Analyze and proactively resolve Basware match exceptions by reviewing the Accounts Payable dashboard and utilizing Excel workbooks to cross-reference Spend Plans, Purchase Orders, invoices, and related Workday Strategic Sourcing (WSS) contracts.
  • Resolve financial discrepancies proactively in partnership with Accounts Payable.
  • Serve as a liaison between all units of the organization, with a strong emphasis on collaboration with Accounts Payable, supply chain, vendor management, field support offices, care centers, and suppliers.
  • Support logistics and procurement for care center launch equipment, supplies, and pharmaceuticals, while monitoring optimal inventory levels to prevent stockouts.
Requirements & Qualifications
  • Education: Bachelor’s degree in business administration, Supply Chain Management, Healthcare Administration, Healthcare Management, or a related field (or 4 additional years of related experience beyond the minimum requirement may be substituted in lieu of a degree).
  • Experience: 8+ years of relevant work experience supporting procurement operations, strategic sourcing, contracting, and vendor management within a healthcare environment.
  • Systems Proficiency: Proficient in Microsoft Office (Word, Excel), Google Workspace (Gmail, Google Calendar, Slack, Docs, Sheets), and ERP systems. Expertise utilizing Workday Strategic Sourcing as the primary contract repository management system is preferred, and experience with Basware (or Sage Intacct) for procurement is highly preferred.
